About the Role

Location: Los Angeles, CA Shift: Monday to Friday; 9:00AM to 5:00PM (Hybrid: work at office on Monday, Wednesday and one other day of your choice) Compensation: up to $55,000/YR* + benefits *parking for the office building will be $125 per month (will be paid out of pocket)


Main responsibilities are:

  • Answer and transfer phone calls, screening when necessary

  • Welcome and direct visitors and clients

  • Maintain filing system as assigned

  • Retrieve information as requested from records, email, minutes, and other related documents; prepare written summaries of data when needed

  • Respond to and resolve administrative inquiries and questions

  • Coordinate and schedule travel, meetings and appointments for supervisors or managers

  • Prepare agendas and schedules for meetings

  • Record and distribute minutes or other records for meetings

  • Maintain office supplies and coordinate maintenance of office equipment

  • Administer accounts payable transactions and maintain a system for recording expenses

  • Perform other related duties as assigned

Requirements

  • 1-3 years of administrative assistant experience

  • Associate’s degree required; Bachelor’s degree preferred

  • Excellent verbal and written communication skills

  • Excellent interpersonal and customer service skills

  • Proficient PC and Microsoft Office Suite skills

  • Excellent organizational skills and attention to detail

  • Basic understanding of clerical procedures and systems such as record keeping and filing

  • Bilingual in Japanese/English is a plus
